Administrative/Office Assistant HMFH Architects, a 45-person firm specializing in the design of innovative learning environments, is looking for an enthusiastic, organized and detail-oriented administrative professional. The Administrative/Office Assistant is responsible for assisting with day-to-day organizational needs, internal and external communications of all kinds, and a range of general office support as needed and as arises. The ideal candidate is proactive, flexible and resourceful, with a warm personality and “can do” attitude, and who will become a resource for the staff and an integral part of the daily operations of the firm.

Responsibilities include, but are not limited to:

  • assisting with all daily operational tasks and coordination
  • opening the office each morning and general office environment upkeep
  • general reception: answering telephones, greeting and accommodating visitors, and all shipping/receiving
  • oversight of office and kitchen supplies and materials -deliveries and errands
  • assist with calendars, scheduling and maintenance of all conference rooms and meeting areas
  • copying, scanning, filing, typing
  • printing, binding and compilation assistance with marketing and studio submissions
  • assisting with special project or deadline-related tasks as assigned
  • interactions with staff, consultants, clients and visitors at all levels and with a high degree of professionalism


  • demonstrated ability to juggle competing tasks and responsibilities, determine priorities, meet deadlines, and manage time appropriately
  • expert verbal and written communication abilities
  • strong interpersonal and diplomacy skills
  • punctuality, dependability and attention to detail
  • expert in MS Office (Excel and Word) and Outlook -College or Associate degree with 2+ years of experience in an office setting
  • driver’s license helpful
  • previous experience in AEC industry a plus
